Shelter Administrative Coordinator – Watkins Glen, NY

The Shelter Administrative Coordinator provides critical administrative support services for the shelter team, which includes animal care, facilities, and placement staff. This position reports to the Director of Shelter Operations.

Responsibilities:

  • Provide administrative support for the shelter management team, including team leaders in animal care (including sanctuary veterinarian), facilities, placement, as well as the Director of Shelter Operations
  • Organize and maintain shelter management team meeting calendar and agendas
  • Attend meetings as assigned; taking notes and providing follow up on action items
  • Act as point of contact to provide support to shelter staff on software and technology, including but not limited to timeclock, scheduling, asset/project management systems.
  • Coordinate shelter expense receipts and reporting; maintain system to meet accounting department requirements for expense allocations and budget reporting purposes
  • Facilitate regular program reports, including attaining and consolidating information from staff as needed
  • Maintain interdepartmental communication, acting as liaison for the shelter team with other department staff and ensuring required approvals and review deadlines are met
  • Assist with assessment and implementation of safety programs
  • Assist with staff activities as assigned (staff lunches, training)
  • Assist with coordination of staff travel needs, including but not limited to flights, accommodations, rental cars.

  • Assist with monitoring and processing general shelter inquiries
  • Placement program project assistance as assigned

Qualifications:

  • Strong verbal and written communications skills
  • Excellent interpersonal skills, including ability to listen and interact constructively and professionally with those seeking Farm Sanctuary’s assistance
  • Ability to display sensitivity, tact and responsiveness with constituents, staff, management, etc.
  • Ability to handle confidential and sensitive information
  • Excellent organizational skills and attention to detail
  • Ability to work in a fast paced environment, handling varied tasks simultaneously while meeting multiple (and sometime competing) deadlines
  • Intermediate proficiency with Microsoft Excel and Word required; database experience preferred
  • Resourcefulness and ability to work independently
  • Poise and fluent adaptability to unexpected situations and developments
  • Working knowledge of basic farm animal care preferred

  • Valid driver’s license with clean driving record preferred
  • Previous administrative experience required

Job Specifications:

  • Full Time, non-exempt position
  • Position based in Watkins Glen, NY; due to the nature of the responsibilities, telecommuting is not an option for this position.
  • Some weekend, evening, and holiday hours required
  • Starting wage is $14-$15 per hour, commensurate with experience
